The purpose of the Enterprise Space Register Integrations project is to share the teaching space booking data stored in Charles Sturt’s timetabling system with our access control and building management systems.
This will allow the university to increase the security and optimise the energy consumption of timetabled teaching spaces.
The naming conventions used by the Division of Student Administration (DSA) for the timetabling system do not align with the naming conventions used in the Division of Facilities Management (DFM) systems such as FMCentral. To align the information in these systems, we have populated an unused field in the timetabling system with the DFM room location codes. To ensure ongoing compliance we are developing a report to detect any mismatch between the two repositories of room information.
Benefits
- Access to selected teaching spaces will be automatically controlled based on the booking information in the timetabling system. This will increase security and restrict unauthorised access.
- Heating and cooling of the selected teaching rooms will be scheduled based on the same booking information. This reduces the practice of heating and cooling empty rooms. We expect this new integration will have a significant impact on Charles Sturt’s energy consumption.
Status
- The new field has been created and populated in the timetabling system.
- The report has been defined and once built will run weekly against the two systems and email key users of any mismatch in the room information.
- We have selected an initial 10 teaching rooms for the trial: A-754-104, A-754-105, B-1292-205, B-1292-233, O-1004-120, O-1014-224, PT-801-2064, PT-801-2065, W-14-115 & W-14-209. If successful, we will assess additional teaching rooms for inclusion in the scheme on a room by room basis.
- We have purchased an off-the-shelf integration module and installed it in Charles Sturt’s access control system. It is now receiving the booking information from timetabling, and testing indicates the system is working as expected.
- The needed integration module for Charles Sturt’s building management system has been purchased and is currently being installed.
The face-to-face teaching shutdown associated with COVID-19 means that there are currently few room bookings in the timetabling system. We are expecting to have the opportunity to work with real data if face-to-face teaching resumes during session 202060 as planned.
Next Steps
- Collect the baseline energy consumption data for the teaching rooms in the trial from 2019.
- Execute the communications plan, timed with the resumption of face-to-face teaching in session 202060.
- Configure the building management system to optimise heating and cooling according to timetabled usage.
- Further testing to confirm that booking data is being managed correctly.
- Review the impact on usability and energy consumption of the teaching rooms in the trial.
